Terms & Conditions
These Terms and Conditions (“T&C”) govern the agreement between you (“Client”) and Travels to Machu Picchu (hereinafter, “the Agency” or “we”). By confirming any service with us, you represent that you have read, understood, and fully accepted these provisions, including our cancellation policy, liability limitations, and other clauses described herein. We recommend carefully following your sales agent’s instructions to ensure a trouble‑free travel experience.
1. Scope of the Agreement
1.1 The agreement covers exclusively the land services detailed in your booking confirmation (tours, transfers, lodging, activities).
1.2 It does not include international or domestic flights, unspecified meals, personal insurance, personal expenses, or baggage handling, unless otherwise stated in your itinerary.
2. Booking Confirmation and Validity
2.1 To formalize your booking, you must submit the completed (digital or physical) form along with the required deposit.
2.2 International flight quotes are for reference only: if you request ticketing services, you must pay for and issue them on the same day (or, at the latest, the following day) to secure the rate.
2.3 Your reservation will be guaranteed only once the deposit is received and confirmed in writing.
3. Client Information
3.1 At least 30 days before the trip start date, you must provide us with your full name, date of birth, nationality, passport details (number and copy), international flight details, and emergency contact phone number.
3.2 If applicable, you must also submit a medical form signed by a professional and any additional requested documentation.
4. Payments and Financial Conditions
4.1 The initial deposit will be 30% of the total package; the remaining balance must be paid at least 15 days before your arrival.
4.2 If final payment is not made by the established date, the reservation will be subject to automatic cancellation without refund of the deposit.
5. Reservation Modifications
5.1 Up to 30 days before the service start date, you may request changes with a USD 50 administrative fee per person.
5.2 After that period, any modification will be treated as a cancellation (see section 6).
6. Cancellation Policy
6.1 Cancellations made more than 30 days in advance: 20% penalty of the total package.
6.2 Cancellations between 29 and 8 days prior: 50% penalty.
6.3 Cancellations within 7 days prior or No‑Show: 100% penalty.
6.4 Non‑refundable airline tickets will remain in the Client’s name and may be reused within 12 months, subject to airline penalties and fare adjustments.
7. Travel Insurance and Risks
7.1 We recommend purchasing insurance that covers accidents, medical assistance, repatriation, evacuation, trip cancellation, or interruption.
7.2 We may request proof of policy and reserve the right to deny any service if coverage is deemed insufficient.
7.3 If you choose to travel without insurance, you will sign a waiver of liability.
8. Claims and Incident Handling
8.1 Any complaint must be communicated immediately to the local representative to allow in‑situ resolution.
8.2 If the incident is not reported during the trip, you waive the right to subsequent claims.
8.3 For post‑service claims, write to us within 28 days of your return.
9. Responsibilities of Travels to Machu Picchu
9.1 We will provide the contracted services with the utmost diligence but assume no responsibility for:
- Force majeure, weather conditions, natural disasters.
- Airline delays or cancellations, airport authority actions, or mechanical failures.
9.2 In the event of an itinerary change due to external circumstances, we will inform you as early as possible and offer equivalent alternatives.
10. Client Obligations
10.1 Follow the instructions of our guides and representatives throughout the trip.
10.2 Hold a valid passport, visas, and vaccination certificates (if required) valid at least 6 months beyond the return date.
10.3 Respect local regulations and behave in a manner that does not endanger your safety or that of the group.
11. Flights and Delays
11.1 We are not responsible for flight delays or cancellations.
11.2 We will always do our best to rebook you on the next available departure, subject to availability and airline policies.
12. Policy for Minors
12.1 Children up to 11 years old qualify for a child rate; from 12 years onward, adult rates apply.
12.2 If a minor travels alone, we require additional documentation and, where applicable, notarized authorization.
13. Last‑Minute Bookings
13.1 For bookings made less than 10 days in advance, a USD 50 urgent processing fee per file will apply to cover emergency arrangements with suppliers.
Acceptance
